Sharing a saved custom variables folder

Saved custom variables can be shared with other users within your company by identifying a group of users to share with. By default, all users at a company are placed in a single group. If you wish to consider dividing your users into customised groups you should contact the Helpdesk to discuss your requirements. Users can only belong to one group and when you share custom variables you do so with all members of one or more groups.

Saved custom variables are shared at folder level rather than individually. To share saved custom variables, you should therefore make sure you have a folder set up that contains only the saved custom variables you want to share. If necessary you can create a new folder (see Creating a new saved custom variable folder) and move saved geographies (see Moving a saved custom variable between folders) to achieve this.

If you choose to share some of your saved custom variables with other users within your company you still retain ownership of these saved custom variables. As the saved custom variable owner, you are the only one able to change the sharing arrangement and delete or rename the saved custom variable. You can share the folder with more groups, and also stop sharing a folder with one or more groups at any time.

To share or stop sharing a saved custom variable folder:

1. Click the Data menu option. The Manage Data page is displayed.

2. In the Saved Custom Variables section, click on the sub folder you want to share.

   Note: You cannot share the My Personal Variables sub folder or any folders within the Variables Shared With Me folder.

   The My Saved Variables window is displayed for the selected sub folder.

3. Click Sharing. The Manage Sharing window is displayed. Click on the image below to view the window.

   

4. To share the saved custom variable with one or more groups, or to add one or more new groups:

   • Highlight the group(s) you want to share your saved custom variables with or click Select All to quickly select all groups.
   • Click OK.
   • The My Saved Variables window is displayed with a note to say the folder has been shared. When you return to the Manage Data page and the Saved Custom Variables section, the Shared With column identifies the names of the groups that the folder has been shared with.

5. To stop sharing the saved custom variable folder with one or more groups:

   • Click on the group(s) you want to stop sharing your saved custom variables with. Each group you deselect causes a confirmation message to be displayed. Click OK.
   • Alternatively, click Clear All to quickly stop sharing with all groups.
   • Click OK.
   • The note on the My Saved Variables window is updated to remove the group(s) where sharing has been stopped. When you return to the Manage Data page and the Saved Custom Variables section, the Shared With column will have been updated to remove the group(s) where sharing has been stopped.
